Part 5: How to Review Your Renewal Certificates of Insurance and Endorsements

We know that working through our renewal packet takes effort, so we've put together a series of videos to help you out. This video is the fifth in the series and it takes you through how to review your renewal certificates of insurance and any endorsements. Completing your renewal packet may seem daunting, but these videos will help break it up into manageable tasks and help you work efficiently through the process. Throughout each of our videos, we'll share tips or tricks to make filling out the renewal application easier. We'll highlight them for you with our tipster signs so that they are easier to see.

Tip No. 1: Throughout your Renewal Packet, please indicate any changes in color, highlight or bold fonts that we can easily see the changes that you've made.

Starting with the renewal certificates of insurance
Certificates of insurance, or "certs" for short, confirm your insurance coverage to an outside organization who may request them. This certificate may be required through a contract, a lease, or even simply a verbal request by the holder or person or organization we're going to send the certificate to. They do not change the policy. You can think of them as a detailed proof of insurance card. With your Renewal Packet you may not have received any certificates, which is likely because you don't have any that need to be issued when the policy renews. If you feel this is an error or if you have any questions, please feel free to contact our Risk Programs team. For those of you who received certificates for review, you'll notice that we marked these with draft. This is because they are printed with the upcoming policy period, policy dates, and policy number; they are not the final work product. Please do not forward these onto the certificate holder who is noted in the lower left corner of the certificate. We will do this once we've worked through the renewal process and after you've bound the coverage. They can expect to receive these around mid-June.
Let's start with what's included in the description box in this sample. You'll notice that we use this box to convey several things.
One, why we are issuing the certificate.
Are you leasing a building or an auto? Do you use someone else's premises for some of your events? What is it that you're leasing or using? We need to be specific with this, so don't be surprised at the level of detail here. Auto information, building information, contract numbers or specific locations that name your specific event and many other items could be included here.
What special status may we be granting the certificate holder on your policy?
Some contracts may require they not only provide a certificate insurance, but the organization is named as additional insured or a loss payee. If so, this is included in the information in the description box.

Tip No. 2: Your contractual obligations or agreements associated with the forms may have changed over the year. Please forward over the documents if you'd like us to review them prior to policy renewal.

Please review these items and let us know if we need to make changes, including if you no longer own the auto or lease the location or use the location. Just tell us what changes need to be made and don't forget to highlight your change please.
Next we'll address the certificate holder's box. Since this is who we are going to send the certificate to, it's important that we have the certificate holder's correct name, contact information including email, fax, and mailing address. Please again, let us know if there's anything we need to change or update.
Let's talk about renewal endorsements. Endorsements are items that are added onto your policy to change coverage. They are legally binding, just as legally binding as your policy, so it's important to make sure that we review them to see if they still apply. With your Renewal Packet, you may not have received any renewal endorsements. This could be because you don't have any that need to be carried forward to next year. Endorsements that be beyond your current policy that add, delete, or change buildings or autos will not be carried forward to next year as they are on the renewal property and vehicle schedule and should reflect these changes. If you feel this is an error and if you have questions, please feel free to contact the risk programs team. For those of you who received renewal endorsements for review, you'll notice that we have marked them as draft. This is because they are on this year's current endorsement that we use as a work product. Once we work through the renewal process, you bind the coverage and we issue the policy, we will send your next year's endorsements usually by the end of September.
Let's look at some of the most common endorsements. If you have questions or endorsement on the endorsements that aren't included, please reach out to the Risk Programs team.
Additional Named Insured Endorsement/Designated Charter School Endorsement
If you're a school district and you have a charter school and you have specifically added them by endorsement to your policy, please check to make sure the charter school is listed on the endorsement.
Driver's Exclusion Endorsement
If you have a driver whose motor vehicle did not meet our standards, we have specifically named a driver on this endorsement. Please review endorsement. If they are no longer employed by you or no longer use the volunteer, we can remove them from the exclusion when you let us know. If you think they are now insurable, please send over a recent motor vehicle record for our review and consideration
Armed School Employee Endorsement
Our school entity liability coverage form excludes armed school employees. If you had reported to us that you employ armed school employees such as an armed security guard or an armed school personnel, we imply this endorsement on your policy to expend liability coverage to your armed school employee.

Tip No 3: This coverage only extends to employees who meet our Armed School employee insurability standards at the time of the occurrence. So if you have this endorsement on your policy, we strongly recommend that you review the training and certification documentation for each of your armed school employees to make sure they all meet our insurability standards.

Vacancy permit.
If you have a building that is vacant and have agreed to check the building inside and out once a week, it should be listed on the vacancy permit endorsement. Please note any changes on this endorsement,
Property and Equipment Breakdown/Builders Risk Endorsement
We offer automatic builders risk coverage, which is coverage for buildings that are under construction reconstruction or renovation on both our property and equipment breakdown coverage form up to a million dollars. If you have a project over the million and have requested a quote and have balanced coverage with us, you'll see these endorsements on your policy. Please review the estimated completed date. Occasionally, construction delays could cause your builder's risk coverage to expire before your construction is completely completed. To avoid this, please make sure that our estimated completion date is still in line. Also, take a look at the project cost. Is that still correct? Please note any changes on the endorsements or give us a call, we're here to help. That's how to review certificates and endorsements.
Now, one last tip for you.

Tip No. 4: If you don't have any changes to your renewal certs or endorsements, you don't need to return it to us. Just make sure that when you send over your renewal application and other items from your renewal packet that you state in your cover email that you have no changes to your renewal certs or endorsements. If you don't return them and you don't include this in your email to us, our Risk Programs team will call and or email you to see if you have any changes.
